Use of College Facilities

It is the policy of Brookdale Community College to permit external agencies and community groups to rent college facilities when all of the following conditions are met:

  • Usage of the facilities and/or space is in accord with the philosophy and goals of the College and does not disrupt instructional or other college activities.
  • The group or agency making a request adheres to a non-discriminatory policy in membership, goals and activities on the basis of personal beliefs or characteristics such as political views, religion, national or ethnic origin, race, color, sex, sexual orientation, age, marital status, veteran status, or disabilities. Further, the services of the group or agency are beneficial to the community-at-large.


Brookdale Community College complies with the provisions of Title II of the Americans with Disabilities Act of 1990, which says that “no qualified individual with a disability shall, by reason of such disability, be excluded from participation in or be denied the benefits of the services, programs, or activities of a public entity, or be subjected to discrimination by any such entity.” The facilities of the College afford reasonable accommodations for persons with disabilities. If any member or participant in the external group’s activity requires further accommodation, that group shall be responsible for providing same. Please contact the College ADA Officer to provide assistance.

College facilities may be rented to profit-making entities for training or other purposes, provided that the rental is not for retail purposes. Not-for-profit entities may utilize rented facilities for fundraising purposes.

The group or agency agrees to defray all expenses including payment for special services, overtime, payroll expenses for security guards, custodial and maintenance personnel, extra utilities, and any damages that may be incurred as a result of the use of College facilities and/or equipment.

The requesting group or agency agrees to pay scheduled fees 2 weeks in advance unless the fees are waived by the College or arrangements are made for payment at a later date.

Any promotional material disseminated by the group should not in any way confuse the general public about the College’s participation or sponsorship and should include a name, address and/or phone number for inquiries. Furthermore, the college reserves the right to review promotional materials that are to be distributed as to certain appropriateness in accordance with college policy. Brookdale Community College maintains a smoke-free environment. Smoking is prohibited in all College facilities. Smoking is permitted only on blacktop areas located outside College buildings.

No alcoholic beverages may be brought to and consumed in the buildings or on the grounds.

The applicant must obtain insurance coverage with an acceptable carrier, with personal liability of at least one million dollars and one hundred thousand dollars in property damage & provide a certificate of such insurance to the College before using the College facilities.

Parking is limited to the designated parking lots. All cars illegally parked will be ticketed or towed at the owner’s expense. Special attention will be given to cars parked in handicapped zones, roadways, sidewalks and grassed areas. Special permits may be requested from the Campus Police for unloading equipment near buildings.

The college reserves the right to cancel permission which has been granted for facilities use at least 30 days prior to the date of the event, or at any time if the renting organization fails to comply with the conditions established.

In the event it becomes necessary for the renter to cancel, written notification is required by the renter 2 weeks prior to the event. If proper notification is not received by the Scheduling Office, the renter may be subject to late cancellation fees.

All groups must provide adequate leadership to assure adherence to College regulations. At least one representative of the organization requesting the use of College facilities must be identified and present for the entire duration of the event.

Signage or other publicity materials will not be posted anywhere on campus without prior College approval. Contact Public Relations at 732-224-2344. It is the responsibility of the sponsoring organization to remove them promptly following the event.

The applicant hereby agrees to indemnify and hold harmless Brookdale Community College against all liability and contractual claims, losses, or expenses arising from accidents to persons or property occasioned solely or contributed to in any manner by the applicant, his or her agents or employees, and against all liability and contractual claims, loss, expense or damage arising from accidents to the applicant, his or her agents, or employees, or by any other person whatsoever; and the applicant will defend any and all suits that may be brought against the college on account of any such accidents and will make good to and reimburse the college for any expenditures, including expense of litigation and legal fees, that the college may make by reason of such accidents.

The College reserves the right to accept or refuse any request for use of facilities and to impose additional regulations after reviewing the request.
